Getting someone to fill out your contact form is only half the job.

They clicked, read your website, decided they were interested and sent you their information.

What happens next?

Start with an immediate confirmation

Don’t leave someone wondering whether the form worked.

Send an automatic confirmation that tells them their inquiry was received and what to expect next.

Keep it simple:

Thanks for contacting us. We’ve received your message and someone from our team will respond within one business day.

If you normally respond faster, say so. Just don’t promise a response time you can’t consistently meet.

Get the inquiry to the right person

Your form should trigger a notification to whoever needs to respond. For a small business, that might simply be the owner.

As you grow, different inquiries may need different destinations. Sales questions might go to one person, support requests to another.

The goal is to avoid leads sitting unnoticed in an inbox.

Respond while the inquiry is still fresh

You don’t need to stare at your inbox all day, but a website lead shouldn’t sit unanswered for days either.

Someone requesting three quotes may contact three businesses within a few minutes. A prompt, useful response gives you a chance to start the conversation while they’re still actively looking.

Have a follow-up process

No response to your first email or call doesn’t necessarily mean they’re no longer interested.

Decide what happens next.

Inquiry → Response → Follow-up → Outcome

Even a simple spreadsheet or CRM can help you track who responded, who needs another follow-up and which inquiries became customers.
